JHU Moves to SAP



PO Numbers

Effective with the Go-Live of SAP, the university’s purchase order numbering system will change.  All purchase orders generated by SAP will have a system-generated, 10-digit purchase order number, beginning with 20 (for example, 2000000153).  A sample of the new format can be found on the Johns Hopkins Supply Chain Shared Services Web site, http://ssc.jhmi.edu/supplychain/po_samples.html.  Purchase order numbers that are not in this format will not be valid purchase orders in SAP.

Effective with the Go-Live of SAP, faculty and staff are advised to no longer use purchase order numbers beginning with a 5 or 6 when placing Low Value Purchase Orders (LVPOs).  LVPOs placed with these numbers will not be valid in SAP, and will not be processed, and will cause payment problems with suppliers.  When placing LVPOs with SAP, faculty and staff need to use the SAP 10-digit purchase order number.

HopkinsSelect eMarketplace

As part of the HopkinsOne SAP implementation, faculty and staff will be able to utilize the HopkinsSelect eMarketplace to browse supplier catalogs, compare prices between suppliers, and place orders directly with suppliers.  The new HopkinsSelect eMarketplace is powered by SciQuest and interfaced with SAP.  This means that users will be able to access the HopkinsSelect eMarketplace by using their SAP sign-on.

Faculty and staff will have access to approximately 70 supplier catalogs initially, with more to follow.  Suppliers in the HopkinsSelect eMarketplace include Dell Computer, Fisher Scientific, GovConnection.com, Invitrogen, Office Depot, and Qiagen.

Suppliers are enabled as either "punchout" or "hosted".

Punchout suppliers host their catalogs on their own web sites that are linked to the HopkinsSelect eMarketplace. When users select a punchout supplier, they are transferred to the supplier’s web site to search for and select products. Punchout catalogs offer Johns Hopkins-specific pricing and information. When users "check out" from a supplier’s punchout web site, the selected items populate an SAP shopping cart where users may complete their order. The features and "look and feel" of punchout catalogs differ from vendor to vendor. Some punchout catalogs offer the advantage of up-to-date inventories, the ability to configure products, and other supplier-specific features.

Hosted suppliers upload their catalogs data directly to the HopkinsSelect eMarketplace powered by SciQuest.  Hosted catalogs offer a consistent "look and feel" and the ability to search across multiple supplier catalogs and conduct side-by-side product comparisons.  Hosted catalogs offer Johns Hopkins-specific pricing and information.  Users may create "favorites" lists to quickly find and order frequently ordered items.

Purchase orders will be sent directly to HopkinsSelect eMarketplace suppliers.  It is not necessary to call a supplier with your order information.  Some suppliers will send email confirmations once they receive and process an order.

Green Copies

Effective with the Go-Live of SAP, green file copies of purchase orders will no longer be distributed.  Faculty and staff will be able to retrieve information regarding purchase orders, invoice payments, etc. directly from SAP.

Independent Contractors

Effective with the Go-Live of SAP, all procurement of services of independent contractors, regardless of dollar amount, must be done through SAP and will require issuance of a PO.

New Supply Store Ordering Method Effective January 1, 2007

Effective with the Go‑Live of SAP, the University Supply Stores no longer accept M&S Forms. Orders may be submitted electronically by using SAP shopping cart functionality. Customers must have the SRM Requisitioner role to initiate shopping carts in SAP.

Customers may submit shopping carts for items to be picked up in person at either Supply Store location (Mudd Hall ‑ Homewood; Basement PCTB ‑ JHMI), or to be delivered directly to their office or laboratory.

A searchable Supply Store catalog is available in SAP for customer ordering convenience. The catalog contains product and pricing information for all items carried by the Supply Stores.
